Exhibitor Terms & Conditions

Private Luxury Events (PLE), a part of Worldwide Events Group Limited, is a leading organiser of high-end travel experiences, including TFest, Private Luxury, travelmomentspro.org, and Wyred.

By submitting your Supplier Profile to PLE, you are agreeing to abide by the following Terms & Conditions (hereafter “Terms”) laid out by the organiser:

Data Management & Privacy

By completing your Supplier Profile, you provide consent for PLE to securely store your personal, professional, and company data within its internal systems.

Once your participation is confirmed, your profile details will be visible within our digital event platform. You’ll be able to edit this information at any time. Your contact details will remain hidden from general users, but will be accessible to other attendees with whom you’ve scheduled meetings, to allow for follow-up communication.

Your participation in our in-person, digital, or hybrid events is conditional on this data use. Should you have any objections, please contact [email protected]. Additionally, your company’s name and/or logo may appear on our event websites strictly for reference—no contact details will be displayed.

General Terms

These Terms govern all bookings made with us, whether for in-person or digital events. By registering for any of our events, you acknowledge and accept these Terms in full.

Please keep a copy for your records. If you are not in agreement, you may not proceed with your registration or attend the event.

Any terms you propose—such as those included in purchase orders or other correspondence—will not override or form part of this agreement.

Booking & Confirmation

To request participation, you must either complete the online booking process or return a signed Agreement for Participation to your assigned account manager or email it to [email protected].

Please note that submission of a booking request does not guarantee a place. A booking is only confirmed once we send you a written or email confirmation (the “Booking Confirmation”). At that point, a binding agreement (“Contract”) between you and us is formed.

The Contract is applicable only to the specific event(s) listed in your Booking Confirmation.

Event Format & Changes

Information regarding the format and schedule of each event will be made available on our official websites.

We reserve the right to alter the format, including changing an in-person event to a hybrid or virtual one. If this occurs, your participation fee will be adjusted proportionally—please consult your account manager for details.

Venue & Digital Access

We may need to change the venue (for physical events) or the hosting platform (for digital experiences) due to circumstances beyond our control. Such changes do not constitute valid grounds for cancellation or refund.

You are responsible for any damage you or your team cause at an event venue and must comply with all venue rules and regulations, including codes of conduct.

If you have a medical or access requirement, please inform us at the time of booking so we can make the necessary arrangements.

Health & Safety Compliance

By participating in any PLE event—including TFest, Private Luxury, and travelmomentspro.org—you agree to comply with our health and safety protocols, including our Covid Safety Policy. Attendance signifies your full acceptance of these measures.

Fees & Payment

The cost of each event (“Price”) is listed on our website and is quoted in GBP (unless otherwise noted), excluding VAT and local taxes.

We reserve the right to modify prices at any time. However, pricing for confirmed bookings will not be affected, barring clear errors.

  • Bookings made less than 56 days before the event require full payment at the time of booking.
  • For bookings made more than 56 days in advance, payment is due within 14 days of receiving our invoice.

Payments are considered complete only once funds have cleared. Time is of the essence, and failure to pay on time may result in interest charges of 4% above the Bank of England’s base rate, applied daily.

Payments must be made in full, without deductions or withholdings. Shared table bookings require that you find a partner; if no partner is secured, the booking will be upgraded to a full table, and the additional fee will be applied.

Digital event bookings require immediate payment upon confirmation.

Cancellation & Credits

Bookings become non-cancellable once your contract is signed. All bookings are final, and no refunds will be issued. Each booking is specific to the named event or product and cannot be transferred to another event or service.

In the event that PLE cancels your booking due to internal or operational decisions, we are not liable for your incurred expenses. However, we will offer you a credit valid for 24 months, or a place at an alternative event, if available.

If the event itself is no longer offered, your credit may be used toward another eligible PLE event or product within two years from the issue date.

Use of Event Materials

All intellectual property—including brochures, slides, and handouts—shared at our events remains the sole property of PLE or its licensors. You may only use this content for personal reference. No part may be reproduced or used for commercial purposes without written permission.

Our Liability

We do not limit our liability for death or personal injury caused by our negligence, nor for fraud.

Beyond that, our liability under these Terms is capped at the value of your event booking fee. We are not responsible for indirect losses, including lost profits or business opportunities, or reputational damage.

Attendees are responsible for their belongings. We accept no liability for lost or stolen property.

Photography & Publicity

By attending a PLE event, you consent to being photographed or recorded. These images and videos may be used in future promotional content across PLE platforms and media.

If you prefer not to appear in any footage, please notify the on-site photographer or videographer in advance.

Networking & Platform Use

By booking an event, you agree to the use of your business profile for networking purposes. Our matchmaking platform—powered by artificial intelligence—facilitates meetings and shares event updates. You are required to maintain an active profile for communication and scheduling purposes.

We do not share your contact details with third parties beyond what is required to deliver the event experience.

Assignment of Rights

This agreement is binding on both parties and their respective successors. You may not transfer your rights or obligations without our prior written consent. We reserve the right to delegate or transfer our obligations as needed.

Force Majeure

We are not responsible for performance failures caused by events beyond our control (“Force Majeure”), including natural disasters, pandemics, terrorism, or industrial action. In such cases, no refunds will be issued, but we will work to reschedule or offer an alternative.

Waivers & Severability

Our failure to enforce any provision of these Terms does not waive our right to enforce it later.

If any part of these Terms is found to be invalid or unenforceable, the remaining provisions will continue to apply in full force.

Entire Agreement

These Terms, along with any referenced documentation, represent the full agreement between you and PLE regarding event participation. They override any previous agreements or representations.

No party shall be entitled to rely on any prior representation unless explicitly included in these Terms.

Amendments

We reserve the right to update these Terms in response to legal, technological, or business developments. Any such changes will be communicated, and unless you object within seven days of your Booking Confirmation, they will be deemed accepted.

Governing Law

These Terms and any disputes related to them are governed by the laws of England and Wales, with exclusive jurisdiction granted to courts within that territory.

GDPR & Data Responsibilities

Any personal data provided will be used solely for the purposes of operating the event. Your data will not be used for marketing unless consent has been explicitly given.

You agree to handle any personal data you access through PLE in strict accordance with GDPR and relevant UK data protection laws, ensuring data security and reporting any breaches immediately.

Code of Conduct

At Private Luxury Events, including TFest, travelmomentspro.org, and Private Luxury, we are committed to maintaining a respectful, inclusive, and safe environment.

All participants—suppliers, buyers, staff, and partners—must behave with professionalism, honesty, and courtesy at all times. Disrespectful behaviour including harassment, abuse, bribery, or intimidation will not be tolerated.

Offering or accepting inducements, such as cash gifts or luxury perks, to influence event outcomes (e.g., pricing, meetings, or sponsorships) is strictly prohibited and may result in expulsion from the event without refund.

Event staff are to be treated with the same respect afforded to fellow participants. Any breach of this code may lead to removal, future bans, and formal escalation to relevant authorities.
